Written for the people who have to make the decision, not for the people who sell it. No jargon unless we explain it first.
The questions we are asked before anything else — what Teams calling actually is, and what it replaces.
Yes. Teams already handles chat, meetings and internal calls; adding a carrier lets it make and receive calls on your real phone numbers, so it becomes the phone system rather than sitting alongside one. Staff keep the interface they already use.
Operator Connect is a Microsoft programme that lets you add a certified carrier to Teams from within the Teams admin centre. No session border controllers, no complex integration — the carrier appears as an option, you assign numbers, and calling is live.
Operator Connect is the faster, lower-overhead route and suits most organisations. Direct Routing connects Teams to almost any provider over SIP and gives granular control over routing and legacy integration — worth it for larger or multi-site organisations with unusual requirements.
Yes — each user who makes or receives external calls needs Microsoft Teams Phone, which is included in some Microsoft 365 plans and added to others. We check what your tenancy already covers before quoting anything.
Very little. Calls are answered in the Teams app people already open every day, so training is usually a short walkthrough rather than a rollout programme. Contact centre agents need more, because they gain queues and reporting they did not have before.
A straightforward Teams calling deployment can be live in weeks; the timeline is normally set by number porting and your own change windows, not by the technology. We run it in phases so your team keeps taking calls throughout.
What happens to the numbers your customers already know, and how inbound calls get where they need to go.
Yes. Numbers are ported across from your current provider, including 1300 and 1800 services. Porting is coordinated so the cutover happens in a defined window rather than as a surprise.
Yes. New numbers can be provisioned alongside or instead of ported ones — geographic numbers for a new office, a fresh 1300 or 1800 service, or a memorable vanity number. We can usually offer a shortlist to pick from rather than allocating whatever comes up next.
A Direct In Dial number is a standard geographic phone number assigned to a person, team or service, so callers reach them directly instead of going through a switchboard. Every user on Teams calling can have one (or more!).
An 1800 number is free for the caller; a 1300 number charges the caller the cost of a local call, with the rest paid by your organisation. Both are inbound service numbers that can route anywhere in the country.
Inbound routing decides where a call goes based on rules — the time of day, the day of the week, where the caller is dialling from, or how busy a queue is. It is the difference between a phone ringing out and a call reaching someone who can help.
Yes. International toll-free services give you a local-feeling number in the markets you sell into, routed back to your team in Australia or New Zealand and billed on the same invoice as everything else.
For two-way SMS, yes — messaging runs on a dedicated mobile number. Outbound-only messages can use a personalised Sender Name so the message shows your organisation instead of a number.
When a calling platform is no longer enough, and what a contact centre adds on top of it.
UCaaS is unified communications — calling, chat and meetings for the whole organisation. CCaaS is contact centre as a service: queueing, routing, agent tooling and reporting for the teams who handle customer contact all day. Most organisations need both, but not for everyone.
If the problem is one specific gap — recording for compliance, reporting, CRM screen-pop — an add-on on top of Teams calling solves it, and costs a fraction of a contact centre. The questions below are the ones that tell you which side of the line you are on.
Once a group is handling customer contact all day and calls need to be distributed fairly rather than landing on whoever picks up fastest. At that point you also need to see who is waiting, for how long, and what happened to them.
Voice alone is enough while the phone is the only way customers reach you. If email, webchat, WhatsApp or social enquiries are being handled in separate inboxes by the same people, omni-channel puts them in one queue with one view of the customer.
Live visibility of queues and agents, the ability to listen in, whisper coaching to an agent mid-call, or take over a conversation that is going badly — plus historical reporting to see patterns rather than incidents.
CC4Teams is an omni-channel contact centre built inside Microsoft Teams — voice, email, WhatsApp and webchat handled in one place, with supervisor tooling, flow building and historical reporting. Agents work in Teams rather than a second application.
Yes. An AI voice assistant can answer, understand the reason for the call, resolve routine enquiries outright and pass everything else to the right team with context attached — which takes repeat volume off the queue at peak.
Yes, at two levels. Contact centre reporting covers queues, agents, wait times, abandonment and outcomes historically and live; Clobba reports across the wider organisation on call activity, quality and licence use. Both can be scheduled to land in an inbox rather than waiting to be opened.
Almost certainly. CC4Teams has a set of integrations built in, and RedCactus connects to over 200 CRM, ERP and practice management systems — bringing the customer record up as the call connects and writing activity back afterwards. We confirm your specific systems at the consult stage.
The obligations that decide whether a deployment is acceptable — particularly in finance, legal and government.
It depends on your industry and what is discussed. Financial services, legal practice and any organisation taking payments over the phone generally record for evidentiary or compliance reasons — the obligation sits with you, and we build to it.
If card details are read out over the phone, the call falls inside PCI DSS scope — including any recording of it. Compliant payment capture keeps card numbers away from the agent and out of the recording entirely.
Consequences sit with your acquiring bank and the card schemes rather than a regulator — monthly non-compliance fees, higher transaction costs, liability for fraud losses, and in serious cases losing the ability to take card payments at all. A breach also triggers forensic investigation and, where personal information is involved, notification obligations under Australian privacy law.
Onshore, with retention periods you set. For councils, banks and government buyers, storage location and ownership are usually a procurement requirement rather than a preference.
It depends on the carrier. We deliver on Access4, one of a small number of Australian-owned and located Operator Connect carriers, which is what makes the sovereignty answer straightforward rather than qualified.
Yes. Recordings are encrypted, indexed and searchable, so producing a specific conversation for an audit or complaint is a search rather than an archaeology project.
Short answers on each part of the range, and the problem each one exists to solve.
Carrier voice added to Microsoft Teams from the Teams admin centre, so Teams becomes the phone system on your existing numbers. No session border controllers, no hardware, and one bill covering licensing, calling and support.

13, 1300 and 1800 inbound services in Australia and 0800 in New Zealand, plus standard geographic DIDs, vanity numbers and international toll-free numbers. Routing options vary by service type.
Compliant call recording — encrypted capture, onshore archiving, search and retention control. It is the answer when you have to prove what was said, not just remember it.
Reporting and analytics across Teams calling — call quality, usage patterns and licence spend. It shows where calls are going, which licences are idle and where quality is degrading.
Presence, attendant console and CRM screen-pop for Teams. Reception sees who is available before transferring, and the customer record is on screen before the greeting finishes.
Fax delivered as email, for the industries that still require it — healthcare, legal and government among them. No fax line, no hardware, no paper.
A business messaging service that sends and receives SMS from your organisation rather than a personal phone — appointment reminders, notifications and two-way conversations, with a personalised Sender Name.
Ongoing support, changes and number management handled by us rather than your IT team — moves, adds, changes, fault resolution and the administrative work that otherwise lands on someone already busy.
How we are structured, what we are responsible for, and what it costs.
No. We deliver on Access4, an Australian-owned and located carrier, and we own the consult, configure, deploy and support stages around it. Being multi-vendor by design means we recommend what fits rather than what we are tied to.
Per seat, per product — you pay for what you use rather than a flat bundled fee. Implementation is priced on the scope of the project, and you can start narrow and expand without renegotiating everything.
The same people who scoped and built the solution support it. There is no handover to a separate support organisation, and no account-manager relay between you and the people who can actually change something.
Yes. The network covers Australia and New Zealand, and calls are treated the same on both sides — which matters for trans-Tasman organisations running one team across two countries.
Send it through and we’ll answer properly — and add it to this page if others are asking the same thing.
Thirty minutes with us — we’ll work through what you’re running today and what you actually need, before recommending anything.
